Description/Job Summary

The Editorial Coordinator will work with editors and authors to publish new titles and release new products in ASHP’s award-winning professional publication program, including competency assessment products, learning management system-based (LMS)-multimedia products, print books, digital books, and other digital products. You will interact with staff and contractors in editorial, production, marketing, sales, and LMS to coordinate all aspects of the publishing process from project inception to publication.

This position is based in our Bethesda, MD office.  Our office has a hybrid working environment, with a combination of onsite and remote work.  Please note that ASHP requires all employees to be fully vaccinated against COVID-19 and candidates will be required to show proof of being fully vaccinated upon commencing employment. What You'll Be Doing at ASHP:

  • Maintains and implements standard operating procedures and related documentation for various Special Publishing processes, including author and editor instructions, manuscript/product review checklists, and proposal and transmittal documents for all titles and products.
  • Initiates, coordinates, and monitors author, editor, and contributor agreements for Special Publishing in ASHP electronic contract management system.
  • Establishes, communicates, and monitors project timelines and key product information with authors and editors and staff in production, marketing, sales, and LMS-management as well as ASHP third-party contractors.
  • Reviews manuscripts and all related deliverables for completeness and adherence to ASHP guidelines and standards.
  • Coordinates project handover to staff in production and LMS-management.
  • Performs key administrative tasks that are part of the publishing process, including International Standard Book Number (ISBN) and product code assignment, maintenance of key project development files and information, product set-up, processing of Cataloging in Publication (CIP) data requests, purchase orders, and title management.
  • Responsible for archiving files of published products in ASHP electronic archive system according to established guidelines.
  • Performs other duties as assigned.

What You Bring To ASHP:

  • College degree required or equivalent work experience.
  • Minimum of two years of publishing experience, preferably in an editorial or project management role.
  • Excellent oral and written communication skills.
  • Accuracy and attention to detail in all aspects of work.
  • Ability to work collaboratively with staff to ensure ongoing productive relationships.
  • Ability to manage multiple projects, tasks, and deadlines simultaneously; demonstrated ability to meet deadlines.
  • Proficient problem-solving and troubleshooting skills.
  • Advanced knowledge of Microsoft Office suite and database software.
  • Experience with software for managing invoices and purchase orders.
  • Experience with contract management applications.
  • Experience with product information management systems.
  • Experience with project management applications.
  • Content editing and project management capabilities for professional development-focused books and other products.
